Amel Association International (Amel) is a Lebanese and non-sectarian NGO created in 1979. Amel works through 27 centers, 6 mobile medical units, 2 mobile education units and 1 protection unit, and for more than 40 years has supported the poorest regions of Lebanon, from Beirut and its South Suburbs to Mount Lebanon, Bekaa and South Lebanon. Amel offers accessible services for all in the following fields: food security, health, education, protection, child protection, gender-based violence, livelihood, promotion and protection of human rights, rural development.
Description:
The receptionist provides the following services: answering incoming phone calls to the center, scheduling appointments, receiving and registering patients, taking their demographic information, documenting and updating them regularly in their files, in addition to preparing paper files for doctors. The receptionist should adhere to the accreditation requirements and needs issued by the Ministry of Public Health for primary health care centers.
Main Responsibilities:
- opening the center in the morning while adhering to the working hours
- receiving incoming phone calls to the center and scheduling the appointments of the caller
- knowledge of all services provided by the center, and the patient pathway for each service (including Mental Health and Substance Use)
- providing callers and beneficiaries with the required information as needed, and a brochure on the center's services.
- listening to patients' requests professionally, and orienting them to the relevant services/providers.
- opening medical files, registering them, completing them, and arranging them in their own archive / cabinet (in case there are paper files)
- entering demographic information of patients onto the health information system
- scheduling patient visits according to the exact instructions of the attending healthcare provider, and recording them on the appointment card and the system.
- adhere to the cost of medical examinations and services issued by the center’s administration.
- contact patients to give them follow-up instructions
- preparing a monthly report that includes a statistics of the beneficiaries according to the services performed, and submitting it to the director of the center
- maintaining order and cleanliness of the front desk and waiting room
- knowing the plan to evacuate the health center in the case of a fire
- respect all the center and work policy and procedures
- attend the staff meeting periodically.
- Executes all administrative tasks to the highest quality standards.
- Identify which individuals or groups to be prioritized at the reception based on vulnerability and other criteria specified by the organization
- Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of crisis or emergency.
- Respecting and appreciating patients and maintaining professional ethics, including commitment to professional confidentiality and privacy in all matters relating to the affairs of beneficiaries and workers.
EDUCATION DEGREE DETAILS:
- Technical baccalaureate in secretarial, business administration, accounting or informatics.
- At least two years of experience in similar work.
- Experience with NGO is a plus.
- Experience in Mental Health is a plus
- Computer Literacy-Microsoft office – (Phonics, Excel, PowerPoint, Word
- Good verbal and written communication and organizational skills
