Job Summary

The Accounting and Finance Officer will work under the direct supervision of the Admin and Finance Manager, and will maintain the general ledger and process accounting transactions on the system, provide financial information and reports, maintain and reconcile accounts, ensure the administrative procedures are respected, and ensure proper archiving and documentation of supporting documentation for donors/partners

The position is based in the Beirut office.

Main Tasks and Responsibilities

  • Maintain the chart of accounts.
  • Prepare and record all type of financial accounting entries (such as accruals, prepayments, fixed assets, cash payments, bank transactions and others) on the accounting system.
  • Maintain and creating fixed assets register and update the accounting system accordingly.
  • Perform regular bank and cash reconciliations.
  • Perform regular suppliers’ reconciliations.
  • Prepare statements of accounts when requested.
  • Process closing procedures on a timely basis.
  • Prepare and update on a monthly basis the capital and fixed inventory register
  • Ensure all accounts are handled on a timely manner by coordinating with the suppliers.
  • Support the finance manager in the coordination of financial audits and tax fillings through the preparing and organizing of pertinent documentations.
  • Assist the finance manager to produce periodic financial reports as required by donors.
  • Review supporting documents and coordinate with the Procurement, Logistics and Security Coordinator to ensure compliance with procurement rules before initiating any payment to the Admin and Finance Manager.
  • Document and file accounting transactions in an organized manner.
  • Secures financial information by completing database backups; keeping information confidential.
  • Maintain a filing system for all the monthly vouchers. Also maintain a filing system for the admin related documentations.
  • Understand and ensure the compliance on prevailing taxation laws and regulations.
  • Ensure that the reporting performed is following prevailing laws and regulations of the country.
  • Maintain precise and current financial records to ensure adherence to finance and accounting policies, procedures, and regulations.
  • Coordinate with the external auditors with regards to audit of annual financial statements and other certifications
  • Compile and submit high quality, timely and accurate financial to management as required.

Minimum Qualification and Experience

  • University degree in relevant field (accounting, business, finance, etc.)
  • 2-3 years of relevant experience, preferably with NGOs in Lebanon
  • Languages: Fluent in English, Arabic.
  • Proficient in MS Office applications
  • Fluent in Arabic and Proficient in English, both written and spoken
  • Good team work, time management, and analysis skills
  • Ability to work under stress
  • Experience in Accouning Software: Visual Dolphin, is highly needed
