INTERSOS is a non-profit humanitarian aid organization that works to bring assistance to people in danger, victims of natural disasters and armed conflicts. Established in 1992 with support from the Italian Federation of Trade Unions, its actions are based on the values of solidarity, justice, human dignity, equal rights and opportunities for all people and respect for diversity and coexistence, paying particular attention to the most vulnerable and the unprotected.

INTERSOS identifies with the core values of CONCORD, the European Confederation of NGOs; it adheres to international codes of conduct for humanitarian organizations and the values and principles expressed within those codes. INTERSOS is recognized by the Italian Ministry for Foreign Affairs, the European Commission and the principal UN agencies; it is privileged to hold an advisory status with the United Nations Economic and Social Council (ECOSOC).

INTERSOS is an independent association which, through its own humanitarian operators, intervenes to effectively answer the needs of people in serious crises situations, mainly in the world's poorest regions, who are suffering, deprived of rights, dignity and essentials goods. It maintains a flexible operating structure. The head office in Italy coordinates, supports and monitors the planned activities in the countries of intervention carried out by decentralized offices.

Job Title      : Field Support

Reports to         : Deputy Project Manager as Line Manager and Logistics Officer as Technical Referent

Duty Station       : Tyre office and Roving between Marjayoun, Hasbaya, Nabatieh, Saida and Bintjbeil

Position Type    : Full Time

Job Purpose:

With the support and supervision of the Logistics & Procurement Officer and Deputy Project Manager, the Field support plays a pivotal role in the collaborative management of safe spaces and its operation. This role involves overseeing logistical matters, maintaining documentation, and ensuring seamless communication between different support departments. Furthermore, he/she will support programme staff in the implementation of field activities when required and agreed by the both line managers.

Generic Duties:

  1. Ensuring proper coordination between the Office and the safe spaces
  2. Supporting the activities in the centres through linked to the logistic and administrative needs regarding the management of the centers.
  3. When asked from logistics or project management liaising with local suppliers and landlords to ensure the smooth implementation of activities in the centres.

Other Specific Duties:

(Can be adapted to the particularities of the job location and the requirement of the project. This section shall be revised whenever a new employee is hire).

  1. Coordination and Collaboration: Collaborate closely with the Logistics and Procurement Officer and Deputy Project Manager to ensure effective management of safe spaces and alignment with project goals.
  2. Logistics Oversight: Take charge of logistics related to safe spaces, including the control of assets, goods, and administrative needs, thereby facilitating the smooth execution of activities within the centers.
  3. Documentation: Facilitate the seamless exchange of HR and program documents, as well as materials, between safe spaces and other support departments at the office. Ensure that all necessary documentation reaches the appropriate stakeholders in a timely manner.
  4. Supply Chain Liaison: Execute tasks delegated by the logistics department, acting as the point of contact with local suppliers. Monitor deliveries, manage facility maintenance, and oversee direct payments to ensure efficient project implementation.
  5. Inventory Control: take responsibility for inventory management within safe spaces, encompassing supplies, assets, and identified needs. Collaborate with the Logistics department to maintain optimal stock levels for operational and staff requirements.

 

  1. Safe Space Financial Operations: Ensure adherence to Safety Cash Standard Operating Procedures (SOP) by delivering liquidity to safe spaces. Facilitate the timely and accurate completion of payments for utilities and other activities related to safe spaces.

 

  1. Support the field team with the centre activities, for example accompanying them to the field when needed, thus reinforcing collaboration and coordination among all involved parties.
  2. Communicate any security incidents and activity-affecting incidents to relevant stakeholders, including the Deputy Project Manager, Liaison/Security Officer, Logistic Officer, and Protection Officer in case of security incidents, and other activity affecting incidents.
  3. Assist in the implementation of special events in the Safe spaces and the field PCS (community days, 16 days of activism or others)
  4. Quality Assurance and Compliance:   Conduct thorough quality checks on incoming goods directly from suppliers. This involves quantifying and assessing the quality of supplies.
  5. Perform other related duties upon request of the supervisor, contributing to the overall success of the project and ensuring efficient project implementation.
  6. Other:
    1. Participate to protection and coordination meetings when needed
    2. Be available for eventual trainings provided by INTERSOS or external stakeholders.
    3. Represent INTERSOS in the area of intervention and maintain positive coordination and relationships with NGOs / INGOs and local institutions present in the field.

Education:

  • University degree in Business Management, Supply Chain, Social Work, or related field.

Competencies: (Knowledge, Skills & Abilities)

Professional Competencies:

  • Minimum 1 year of relevant work experience (including administration, logistic, management and work with communities)
  • MS proficiency (Word, Excel)
  • Reporting skills
  • Driving license issued since more than 2 years.
