The LHDF Membership & Administration Officer is responsible for providing membership services, supporting operational guidance and coordination while ensuring core administrative, logistical, and information management support to the LHDF Secretariat hosted by Himaya association.
Responsibilities
- Facilitate and support data collection and information management of LHDF members to support LHDF coordination, communications and advocacy as requested;
- Develop good working relationships and coordinate with key staff among LHDF members and partners, to better facilitate rapid information flow, knowledge management and reporting for effective implementation of LHDF-related activities;
- Conduct regular field visits to the LHDF members
- Gather information and success stories about the activities of the LHDF members, and share them on LHDF different social media platforms;
- Assist, in coordination with LHDF Forum Coordinator and Host Agency Project Manager, periodic LHDF project reporting to relevant donors and integrate tracking of LHDF-related project expenses on a regular basis;
- Serve as the executive officer to the LHDF Coordinator and LHDF Steering Committee.
- Maintain up-to-date contact lists of LHDF members, observers, and relevant partners including UN agencies, local/national NGOs, and the donor/diplomatic community.
- Ensure that relevant reports, announcements, and updates are timely and consistently circulated to LHDF members, observers and partners via regular LHDF digest emails.
- Maintain various online folders, ensuring the information remains systematically up-to-date, and support LHDF Coordinator in updating the LHDF Website;
- Provide unofficial translation of written text from English to Arabic and Arabic to English as needed (e.g., media articles, government decrees, LHDF communications materials).
- Prepare and disseminate detailed notes of different LHDF coordination meetings in addition to tracking member attendance and participation statistics.
- Assist the Forum Coordinator and Advocacy Advisor in preparing PPT presentations (i.e for the monthly plenary meetings, ad-hoc meetings, events, workshops, …).
- Serve as Secretariat of the Membership Committee
Requirements
- University degree in Social Sciences, Management, Business or any other relevant field;
- Minimum 3 years of experience in project and office management, administration and/or logistical support, preferably with national and/or international humanitarian or development NGOs;
- Fluent in English and Arabic, both written and spoken, is mandatory.
- Fluency in French is a plus.
- Proficiency in Microsoft Office applications including Excel, Word, and PowerPoint; basic website management skills desirable
